AT&T Executive Assistant in El Segundo, California
The AT&T Entertainment Group is looking for a dynamic, experienced professional candidate to join us in our El Segundo, CA offices as an Executive Assistant.
The individual in this position will be responsible for establishing the operating framework necessary to successfully implement the SVP’s directives. In addition, you will support the SVP through extensive administrative support, including the management and coordination of projects, demonstrating consistent follow-up to ensure task completion. In this role you will ensure everything runs seamlessly, serving as liaison; knowing what’s important; to be the “front” person. You must be strategic, yet tactical, and able to manage through intensity and volume.
The challenge is to develop a relationship that enables you to anticipate the SVP’s needs and to work in partnership, jointly discerning common objectives and resolving issues. The pace of activities and the work itself will be highly challenging. You must be service oriented and excellent at logistical management.
Execution, Oversight & Coordination
Monitor calls, manage complex, ever-changing calendar and flow of communication
Serve as liaison in order to understand and track business unit-wide goals and concerns
Provide leadership in day-to-day operations; streamline activities in order to keep up
Take initiative in managing special projects; keep SVP organized
Plan and coordinate extensive, complex travel logistics
Create, design and implement processes and procedures utilizing current technologies and AT&T systems
Prepare Day files
Maintain accountability and accept responsibility: provide daily report to SVP on status of all activities including requests, open items, and the like. This is especially critical when the SVP is traveling. Keep SVP up-to-date by headlining the critical issues, and providing general information about less critical topics.
Engage in problem-solving with the staff and with own tasks
Conduct research and advanced planning for the SVP
Extensive travel coordination; provide precise, detailed itineraries, contact lists and agendas. Experience in managing time zones effectively is critical
Strong writing skills; note-taking ability is helpful.
Prioritize and determine risk/importance
Arrange appointments, meetings, conference calls with responsibility for coordinating accompanying materials
Monitor complex calendar and ensure that there are no scheduling conflicts; be strategic with SVP time
Review incoming email/mail; take complete responsibility for follow up; draft/respond to correspondence, inquiries and invitations
Daily task management: service as a resource for coordinating, managing and implementing assigned tasks with accountability for meeting deadlines on time
Work quickly and efficiently; remain flexible to shifting priorities
